Job Summary

The Faculty Affairs Manager, reporting to the Associate Provost for Faculty Affairs, plays a central role in supporting the Office of the Provost by managing all aspects of faculty administration for full-time and adjunct faculty. Responsibilities include oversight of records, data systems, reporting, faculty communications, event coordination, and operational processes, in compliance with institutional policies and collective bargaining agreements. This role collaborates with Human Resources and academic departments to support hiring, onboarding, and faculty development initiatives, while also driving process improvements and ensuring the secure management of sensitive data.

Essential Job Functions & Responsibilities

Appointments, Status, and Compensation

  • Manage data related to full-time and adjunct faculty, including course assignments, and reporting needs
  • Oversee faculty payments such as awards, internal grants, and special project stipends
  • Communicate personnel updates (e.g., rank changes, credentials, resignations, terminations) to Academic Departments, Human Resources, and Payroll
  • Partner with Academic Departments to manage faculty transcripts, credentials, evaluations, and observations
  • Manage appointment letters, including preparation, review, distribution, and recordkeeping
  • Maintain and analyze faculty data in systems such as Banner and Excel; produce reports as needed
  • Perform ongoing audits of full-time faculty workload and disseminate to the Academic Units

Faculty Resources and Support

  • Collaborate with the Associate Provost for Faculty Development and Teaching Excellence, to coordinate faculty development opportunities and events (e.g., orientations, seminars, workshops, training)
  • Work with Facilities, IT, and administrative units to support faculty workspace and resource needs
  • Manage maintenance of faculty webpages and annual updates to the Faculty Guidebook, Handbook, Procedures Manual, and related forms
  • Communicate with faculty regarding onboarding, appointments, credentials, status changes, teaching loads, collective bargaining updates, awards, reimbursements, and events
  • Oversee event logistics, including venue booking, catering, and preparation of programs, scripts, and materials

Other Processing and Records Maintenance

  • Maintain records related to faculty searches, appointments, onboarding, credentials, teaching loads, awards, and administrative roles
  • Collect, route, and track academic process forms for approval, ensuring timely follow-up
  • Manage faculty data across systems and ensure database accuracy
  • Follow up with staff and faculty to support accurate and timely processing
  • Communicate process updates to Deans, Associate Deans, faculty, and administrators
  • Handle internal and external communications related to Faculty Affairs

Organizational

  • Manage time and resources to meet deadlines and support short- and long-term goals
  • Maintain confidentiality and discretion in managing information
  • Communicate proactively and support the University’s vision and mission
  • Take initiative in problem-solving and completing tasks independently
  • Develop and implement improvements to policies and processes
  • Demonstrate flexibility in handling work assignments

Communications

  • Exhibit equitable and inclusive practices in communication and collaboration
  • Maintain open communication, collegiality, and professionalism across departments
  • Ensure timely transmission of records and information
  • Provide responsive and professional service in resolving inquiries or issues

Required Skills & Experience

  • Ability to work independently and manage confidential information
  • Mastery of MS Office (Word, Excel, PowerPoint, Outlook); strong Excel skills including pivot tables and v-lookups (to be tested)
  • Familiarity with Banner, Argos, Formstack, and Microsoft Forms; Tableau a plus
  • Strong communication, organizational, and problem-solving skills
  • Ability to manage multiple projects with attention to detail in a fast-paced environment
  • Initiative and ability to work with minimal oversight

Education Requirements

  • Bachelor’s degree required
  • Minimum of three to five years of relevant experience, preferably in higher education

Physical/Other Requirements

  • Willingness to occasionally work outside standard business hours
  • Must meet general health requirements per university policies
