Job Summary:

The HR Faculty Affairs Coordinator provides comprehensive administrative, operational, and data management support for faculty personnel processes across the institution. This role is responsible for maintaining accurate faculty records in Banner, coordinating hiring and onboarding activities, processing faculty appointments, promotions, leaves, sabbaticals, terminations, compensation updates, and academic administrative contracts, and ensuring timely faculty payments. The position manages confidential faculty personnel files, generates reports and appointment letters, supports tenure and promotion processes, and produces data and compliance reports for internal and external stakeholders. Success in this role requires strong organizational, analytical, and communication skills, advanced proficiency in Microsoft Office applications, particularly Excel, and the ability to manage multiple priorities independently while maintaining accuracy and confidentiality in a fast-paced higher education environment.

Essential Job Functions & Responsibilities

Administrative

  • Maintain data in Banner (PEAFACT, EPAFs, FLAC)
  • Processing promotions, leaves of absence, sabbaticals, and terminations to include faculty communication, updating banner and faculty roster
  • Entering and maintaining Course releases in Banner
  • Processing staff who teach form
  • Processing part-time academic administrative contracts
  • Processing payments of internal annual awards and recognitions (EPAFs)
  • Processing transcript approval forms (for adjunct faculty)
  • Processing transcript approval forms (for FT faculty)
  • Entering and maintaining transcript data in Banner for reporting
  • Distribution of monthly SEIU reports
  • Updating adjunct compensation structure in Banner
  • Updating individual adjunct faculty compensation tiers in Banner/Peafact - this is tied to transcript approval process
  • Faculty hiring and onboarding processes (HR processes)

Data Management

  • Manage and share confidential faculty personnel files (ft/pt) in OneDrive
  • Generate letters
  • Manage data systems
  • Data process design and improvement

Operations Coordination

  • Coordinate faculty hiring, onboarding, and status changes and any associated appointment letters
  • Ensure timely processing of faculty payments
  • Process - Distribution and Collection of Annual Adjunct Faculty Appointment Letters

Records & Reporting

  • Produce faculty reports for IR and other internal/external parties (CUPA, AAUP, etc.)
  • Manage faculty tenure and promotion processes and update records, accordingly
  • Compose Faculty Appointment Letters

Required Skills & Experience

  • Ability to work independently and manage confidential information
  • Mastery of MS Office (Word, Excel, PowerPoint, Outlook); strong Excel skills including pivot tables and v-lookups
  • Familiarity with Banner, Argos, Formstack, and Microsoft Forms; Tableau a plus
  • Strong communication, organizational, and problem-solving skills
  • Ability to manage multiple projects with attention to detail in a fast-paced environment
  • Initiative and ability to work with minimal oversight

Education Requirements

  • Bachelor’s degree required
  • Minimum of three to five years of relevant experience, preferably in higher education
