Job Summary:

The HRIS Assistant role focuses on supporting daily HRIS operations, with a key responsibility of acting as a liaison between the HR and Payroll departments. This role is vital for ensuring smooth employee onboarding and accurate payroll processing. The assistant will handle various HRIS tasks, data management, and troubleshooting system issues, while also supporting key HR-payroll initiatives and maintaining data integrity. 

Essential Job Functions & Responsibilities:

  • Provide comprehensive support for various HR-payroll processes
  • Assist with research and department audits, escalating issues when necessary, resolving operational problems, and lending support to key HR-payroll initiatives
  • Implement and coordinate employee records systems data
  • Perform data entry of new hires, and completion/processing of a variety of HR forms
  • Audit HR systems for the integrity of data and ensure compliance with regulations
  • Provide first-line support for HRIS system inquiries, troubleshoot basic user issues, and assist in maintaining system configurations and updates
  • Assist with the coordination of training for staff including outsourced training and assist in the development of training curricula and the delivery of training as necessary
  • Assist in developing and updating HRIS-related documentation and user guides, and provide basic training to HR and other departmental staff on system usage
  • Manage and update org charts for all departments
  • Prepare and disseminate all employee status change letters
  • Update and communicate department policies and procedures
  • Participate in the University committee and other community work as appropriate
  • Ensure the effective and current flow of information between the functions of the Office of Human Resources and the University management and employees
  • Maintain confidentiality of all human resource information and ensure full compliance with Department, University and legal requirements for authorization of the release of employee information
  • Serve as subject matter expert with Electronic Personnel Action Forms (EPAF) system by training employees, reviewing, approving, and applying transactions
  • Assist when needed for the processing and disseminating union reports, per collective bargaining agreement with regards to new hires, promotions, transfers, and terminations
  • Responsible for offboarding of employees including dissemination, collection and review of exit interviews, notification of end of employment to all other appropriate offices
  • Manage departmental budget, processes contracts through Formstack, enter requisitions, and track purchase orders and invoices to ensure accurate financial recordkeeping

Required Skills & Experience:

  • Minimum of one (1) year of experience in an HR or administrative role, with a strong emphasis on data entry and record keeping Strong communication skills, both written and verbal
  • Strong proficiency in Microsoft Office Suite, particularly advanced Excel skills (e.g., VLOOKUP, pivot tables, data analysis)
  • Exceptional attention to detail and accuracy in handling sensitive employee data
  • Strong organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment
  • Excellent communication skills for effective interaction with employees at all levels, HR colleagues, and payroll staff
  • Demonstrated ability to maintain strict confidentiality and exercise discretion with sensitive information
  • Strong problem-solving skills and a proactive approach to identifying and resolving issues
  • Basic understanding of fundamental HR processes and policies
  • Commitment to best-in-class customer service experience for the diverse faculty and staff population
  • Possess a positive, team-oriented approach to service delivery
  • Experience with Ellucian Banner HR or other similar HCM systems is highly preferred

Education Requirements:

  • Bachelor’s degree required
