Job Summary: This position is responsible for organizing and managing the daily functioning of the Physical Therapy Program; administers the admissions process for student candidates; provides other administrative functions as required.

  • Provide comprehensive administrative support to the Program Director and faculty
  • Assist with program admissions, including recruiting efforts, answering inquiries, processing online applications, tracking prerequisites, and scheduling interviews.
  • Maintain accurate student and program files, ensuring confidentiality and compliance with accreditation requirements
  • Plan, organize, and schedule meetings, record and distribute minutes, and manage correspondence
  • Monitor and reconcile program budgets, process purchase requisitions and invoices
  • Support faculty by coordinating teaching resources, IT requests, and classroom scheduling and submitting faculty book orders
  • Track and notify faculty of required reports as per the faculty handbook.
  • Maintain program databases and generate reports to aid decision-making
  • Assist in the preparation of accreditation documents, reports, presentations and coordinating accreditor visits to campus
  • Manage supplies, equipment, and inventory for faculty and departmental needs
  • Create and maintain a spreadsheet for teaching assignments and overload credits for both fulltime and adjuncts
  • Process contracts and ensure timely submission.
  • Supervise student workers, temporary staff, and contractors assigned
  • Attend meetings and professional development events relevant to administrative functions
  • Plan and coordinate events held by program
  • Uphold confidentiality, University policies, and compliance requirements
  • Demonstrate professionalism, customer service excellence, and a proactive problem-solving approach
  • Take initiative in troubleshooting and completing tasks, fostering teamwork and inclusivity
  • Maintain punctuality, professional attire, and a collaborative work ethic
  • Perform other duties and projects as assigned by the Program Director

 

 

Required Skills & Experience:

 

  • Minimum one year of relevant experience in higher education environment 
  • Minimum of one year of solid customer service experience 
  • Demonstrated leadership, interpersonal, written and oral communication, problem­ solving, organizational, and presentation skills 
  • Proficiency in computer-based word processing, spreadsheet, and database applications, preferably Microsoft Office applications 
  • Demonstrated evidence of detail-orientation, customer service orientation, ability to work independently, and great levels of responsibility required 
  • Bilingual a plus 
  • Ability to travel between campuses if needed
  • Ability to work occasional nights and weekends required 

 

 

Education Requirements:

  • Relevant associate degree or equivalent required 
  • Bachelor's degree from an accredited four-year college preferred 

 

Physical/Other Requirements:

  • Must be able to push, pull, move or lift up to 50 lbs.
  • Must be able to meet all general health requirements for the position as per university policies
