Job Summary:
Mercy University seeks a dynamic and energetic individual to join our team on the Dobbs Ferry campus as an Administrative Assistant. The Administrative Assistant for Student Life provides comprehensive administrative and operational support to the Director of Student Life and the Student Life team. This position assists with the coordination of departmental operations, event logistics, communications, budgeting processes, and student engagement initiatives. The Administrative Assistant plays a key role in ensuring the smooth functioning of the Student Life office while supporting programs that enhance student engagement, leadership development, campus traditions, and recreational programming. This individual will play a key role in the successful execution of beloved traditions, campuswide events, and positively impacting the experience of every Mercy student who is involved on campus.

Essential Job Functions & Responsibilities:

  • Provide administrative support to the Director of Student Life and Student Life team
  • Manage office operations including scheduling meetings, maintaining calendars, coordinating appointments, and responding to departmental inquiries
  • Prepare meeting materials, agendas, minutes, and correspondence as needed
  • Assist with maintaining departmental records, policies, and procedural documentation
  • Support the preparation of budget requests, financial reports, and planning documents
  • Coordinate purchasing processes including purchase orders, invoices, vendor payments, and expense reconciliation
  • Maintain records related to programming expenditures, travel, equipment purchases, and office supplies
  • Provide logistical and administrative support for major Student Life programs including but not limited to:
    • New Student Orientation
    • Signature campus events
    • Senior events
    • Leadership programs
    • Campus traditions and festivals
  • Assist with event coordination including scheduling spaces, confirming vendors, tracking registrations, and managing event materials
  • Support cross-campus programming logistics for events taking place at multiple campus locations
  • Assist with managing content updates on the student engagement platform (e.g., Engage)
  • Assist with compiling reports and engagement data related to student participation
  • Assist with coordinating departmental meetings and committee participation
  • Provide general office support including answering phones, greeting visitors, and assisting students with general inquiries
  • Maintain inventory of office supplies, equipment, and program materials
  • Perform other duties as assigned to support the mission and goals of Student Life

Required Skills & Experience:

  • Previous administrative experience, preferably in higher education or student services, is preferred
  • Experience supporting events, budgeting processes, or program coordination is preferred
  • Strong organizational and time management skills. Excellent written and verbal communication skills
  • Ability to manage multiple projects and deadlines
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with student engagement platforms or event management systems preferred
  • Ability to work collaboratively with students, staff, and campus partners
  • Occasional evening or weekend hours may be required to support major campus events

Education Requirements:

  • Bachelor’s degree in higher education administration, business administration, communications, or related field is preferred
