The School of Nursing at Mercy University invites qualified candidates for a position that provides comprehensive administrative support to the Dean of the School of Nursing. The Assistant to the Dean manages office administration, faculty support, expense coordination, and special projects while acting as a liaison between the Dean's office and university faculty and other staff. The role requires organizational skills, discretion in handling confidential matters, and the ability to manage multiple priorities in a fast-paced academic environment.

Essential Job Functions & Responsibilities:

• Support the Dean in administrative duties, including but not limited to processing educational materials, formatting letters, and creating spreadsheets

• Manage the Dean's complex calendar, schedule meetings

• Oversee daily operations of the Dean's suite and orders office supplies

• Prepare agendas, meeting slides, record minutes, and maintain documentation for all leadership and faculty meetings

• Troubleshoot faculty, staff, and student inquiries, and contact appropriate department if necessary for resolution

• Help prepare reports for decision making

• Support in planning school events including honor societies induction ceremonies, and meetings

• Distribute marketing materials and manage school communications (events, promotional materials, graduation, ceremonies)

• Coordinate efforts when needed, e.g. chair elections processes, medical missions logistics

• Prepare mailings for honors information (Dean's List, graduation awards) and maintain records

• Collaborate with others to support any academic effort within the school

• Meet with the Dean on an as-needed basis, as determined by the Dean

• Process expenditures in the various formats needed, and reconcile corporate cards

• Prepare financial documents (Purchase Orders, EPAFs, requisitions) for operational needs

• Maintain faculty records and send appropriate forms, including reviews, promotion, renewals, accomplishments, tenure, and renewal materials

• Assist with academic processes including holds, probation monitoring

• Train staff on university systems (Banner, ProfTech, Purchase Orders, Amazon Business)

• Reconcile Corporate Card expenditures, with proper backup, forms, and address any relating questions from finance department

• Other duties as assigned by the Dean

Qualifications:

• Minimum 3 years of executive-level administrative experience in a professional office environment

• Demonstrated interpersonal, written and oral communication skills; problem solving, organizational and presentation skills.

• Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

• Banner system experience preferred

• Exceptional interpersonal and communication skills

• Ability to work effectively as a member of a dynamic team in a fast-paced, growth-oriented environment

• Demonstrated ability to manage complex calendars, handle confidential information, resolve problems independently

Education Requirements:

Bachelor’s degree from an accredited four-year college or university, preferred Masters or additional certification in office management a plus.

Physical/Other Requirements:

Must be able to meet all general health requirements for the position as per university policies.
