Essential Job Functions & Responsibilities

  • Provide administrative support to the clinical placements team for undergraduate nursing students assigned clinical rotations, ensuring alignment with program capacity and regulatory requirements.
  • Obtain, compile, and maintain all required documentation related to clinical site affiliation agreements, contract renewals, onboarding materials, and agency-specific compliance requirements; monitor renewal timelines and ensure uninterrupted placement eligibility.
  • Administer and track departmental compliance requirements for students and faculty, including verification of required credentials and health documentation, ensuring timely submission, validation, and secure record maintenance in accordance with institutional and agency policies.
  • Maintain comprehensive, current contact databases for clinical site administrators, preceptors, and agency representatives to support efficient communication and operational coordination.
  • Prepare, organize, and submit documentation required for internal reports, accreditation reviews, audits, and clinical placement requests to affiliated healthcare facilities; ensure accuracy, completeness, and adherence to established deadlines.
  • Organize and support onboarding processes for clinical faculty, including developing outreach material and collaboration with University services.
  • Collaborate with the Director of Clinical Operations and departmental leadership to support strategic planning initiatives, optimize clinical placement workflows, strengthen agency partnerships, and promote continuous process improvement.
  • Support data collection and reporting efforts related to clinical utilization, compliance metrics, and placement capacity to inform administrative decision-making with the use of clinical software and the use of the University's learning management system.
  • Perform additional administrative duties as assigned to advance the operational goals, regulatory compliance, and mission of the School of Nursing.

Qualifications Required Skills & Experience

  • Excellent administrative and organizational skills
  • Exceptional communication skills, both verbal and written
  • Outstanding interpersonal skills with ability to work independently and as part of a team in a fast-paced environment.
  • Prioritization and attention to details.
  • Extraordinary customer service skills with a high regard for confidentiality.
  • Experience working with databases.
  • Experience with Banner preferred.
  • Experience with Microsoft Office Suite, including Outlook, Word, PowerPoint and Excel.
  • Experience using Zoom, Doodle Polls and related survey applications.

Education Requirements:

  • Associate’s degree required, bachelor’s preferred

Physical/Other Requirements:

  • Must be able to push, pull, move or lift up to 50 lbs.
  • Must be able to meet all general health requirements for the position as per university policies

Compensation offered will be commensurate with the educational background and work experience of the individual.
